Privacy Policy

We come into your home. That means we hold information most businesses never would — your keys, your codes, your routine. Here is exactly how we look after it.

The short version. We collect only what we need to clean your property and invoice you for it. Our cleaners do not go into your drawers or cupboards unless you ask them to. Your keys and codes are stored separately from your address and are never shared with anyone. We never see or store your full card number. We don't sell your information — to anyone, ever.

1. Introduction

PickNiks Cleaning (ABN 39 846 272 751) respects your privacy. We are a small, Australian owned and operated business based in Perth, and we are careful with the information you trust us with.

This policy explains what we collect, why, and what we do with it. It applies to our clients, to visitors to our website, and to people who apply to work with us. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

2. What we collect

  • Contact details — your name, email address, phone number and suburb.
  • Property details — your service address, the size of your property, and notes you give us about pets, alarms or parking.
  • Access details — key safe codes, lockbox codes and alarm codes, where you provide them.
  • Service details — the service you booked, how often, your add-ons, and your quote and invoice history.
  • Payment information — see section 7. We never see or store your full card number.
  • Correspondence — emails, SMS, and messages you send us through our website chat.
  • Website information — see section 14.

If you apply for a job with us, we also collect the information described in section 10.

3. How we collect it

Mostly, you give it to us directly — through our instant quote form, our contact form, our booking page, our website chat, or just by calling or emailing us. We also collect information you give us during a clean, such as access instructions or a note about your pets.

4. Why we collect it

  • To give you an accurate quote.
  • To schedule and carry out your clean.
  • To get into your property at the booked time.
  • To invoice you and take payment.
  • To contact you about your booking, or if your cleaner is running late or unwell.
  • To answer your questions and handle any concerns.
  • To meet our legal and tax obligations.

We do not collect personal information we do not need.

5. Keys, codes and access details

All keys and codes are stored separately from address information and are never shared with a third party. This is a deliberate safeguard: a key or code on its own tells nobody which property it opens.

If you instruct a cleaner to leave keys in an unsecured location outside the property, the cleaner is not liable once the service is complete and they have locked up on leaving.

6. Inside your home

Our cleaners will not go into drawers or cupboards unless you instruct them to do so.

Cleaning is a job that takes people into private spaces, and we take that seriously. Our cleaners are police checked and fully trained, and they are there to clean — nothing else. We would also ask that you put away anything precious or fragile before we arrive.

7. Payment information

We keep a payment card on file for every booking, as set out in our Terms & Conditions.

Your card details are held securely by our payment provider, not by us. We never see or store your full card number. We can charge the card in the circumstances you have authorised — an invoice unpaid past 48 hours, a booking deposit, or a cancellation or lock-out fee — but we cannot read your card number.

8. Who we share it with

We do not sell your personal information. Not to anyone, ever.

We share it only where we need to, and only with:

  • Our own cleaners — who get the details they need to do your clean and get into your property, and no more.
  • Our scheduling and CRM software — which we use to book and manage your cleans.
  • Our payment provider — who handles your card securely.
  • Our accountant, and government bodies — where the law requires it.

We do not pass your details to other cleaning companies, marketing lists, or data brokers. Some of our software providers may store data on servers outside Australia; where they do, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

9. Marketing and reviews

  • We may send you occasional emails about our services. Every one has an unsubscribe link, and we will stop the moment you ask.
  • We may ask you for a Google or Facebook review after a clean. You are never under any obligation, and saying no changes nothing about your service.
  • We will not use a photo of your property in our marketing without asking you first.

10. If you apply for a job with us

When you apply through our application form, we collect your contact details, work history, availability, right-to-work status, police clearance status, transport details, references and any résumé you upload.

  • We use it only to assess your application.
  • We only contact your referees with your consent.
  • If you are not successful, we keep your application for up to 12 months in case something suitable comes up, then delete it. You can ask us to delete it sooner and we will.
  • Applicant information is never used for client marketing.

11. How we store it

Your information is held in our scheduling and CRM software, which is password protected and accessible only to Nikki and to staff who need it for their work. We take reasonable steps to protect it from misuse, loss, and unauthorised access. Access details are stored separately from addresses, as set out in section 5.

No system is perfectly secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by law.

12. How long we keep it

  • Client records — while you are a client, and for 7 years afterwards, as our tax obligations require.
  • Access details (keys and codes) — deleted when your service ends.
  • Unsuccessful job applications — up to 12 months.
  • Quotes that never became bookings — up to 12 months.

13. Accessing and correcting your information

You can ask us at any time to:

  • tell you what personal information we hold about you;
  • correct anything that is wrong;
  • delete your information, where we are not required by law to keep it; or
  • stop sending you marketing.

Just email [email protected] or call 0447 128 534. We do not charge for this, and we will respond within 30 days.

14. Cookies and our website

Our website uses cookies to make it work properly and to help us understand how visitors use it. Our instant quote form and booking pages store your answers so we can produce your quote and confirm your booking.

You can turn cookies off in your browser settings, though some parts of the site may not work as well. Note that your own browser may autofill forms with details you have entered before — that is your browser, not our website.

15. Complaints

If you think we have mishandled your personal information, please tell us first — email [email protected] and we will investigate and respond within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992.

16. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it last changed.
